A complete platform for managing a tattoo practice
Amzart is a professional tattoo artist based in Newtown, Sydney. She needed a platform that could showcase her portfolio, handle consultations and bookings, process deposits, track multi-session projects, and manage client communications — replacing a patchwork of Instagram DMs, spreadsheets, and manual invoicing.
The problem
Tattoo artists manage their business through Instagram DMs, manual calendar entries, and cash or bank transfers. There's no project tracking for multi-session pieces that span weeks. Deposits are handled informally. Aftercare instructions are given verbally and forgotten. No-shows waste time with no financial protection.
The artist needed a single platform that handled the entire client lifecycle — from first enquiry through consultation, deposit, sessions, healing, and follow-up — with the polish to match the quality of the art itself.
What we built
A three-layer platform: public portfolio and marketing site, client self-service portal, and artist admin dashboard — with integrated payments, booking, and automated communications.
Portfolio showcase
A curated gallery with multi-image support per piece, video capability, and filtering by tattoo style and placement. Each piece can display multiple angles in a carousel. Published and draft states allow the artist to curate what's visible.
Deposit-first booking workflow
Consultations are booked through the platform. Once a project is agreed, the artist creates a deposit checkout via Stripe. Clients have 24 hours to pay — unpaid bookings are automatically cancelled by a scheduled job, protecting the artist's calendar.
Multi-session project tracking
Projects follow a 10-state lifecycle: enquiry, consultation booked, consultation complete, deposit pending, deposit paid, session booked, in progress, complete, healed, and archived. Each transition is validated by a state machine with tested guard conditions.
Client portal
Clients log in to view their projects, upcoming bookings, payment history, and documents. They can message the artist per project, upload reference images, and access their waiver and invoices as generated PDFs.
Automated email sequences
Booking confirmations, deposit receipts, appointment reminders, and a multi-step aftercare sequence that guides clients through the healing process on a timed schedule. Failed sends are logged and retried automatically.
Artist admin dashboard
Revenue tracking, booking calendar with conflict detection, client CRM with tags and source tracking, waitlist management, portfolio administration, and GA4 analytics — all in one interface.
The outcome
Inkfolio is live at amzart.com.au and handling real client bookings. The deposit workflow protects the artist's time with automatic 24-hour cancellation. The project tracker gives both artist and client visibility into multi-session pieces. Automated aftercare emails ensure healing instructions are delivered on schedule — not forgotten after the session. The platform replaced Instagram DMs, manual invoicing, and spreadsheet tracking with a single, professional interface.
